Please read carefully before booking. By engaging Foots Forward Travel ("the Agency," "we," "us," "our") to plan, quote, or book any travel — including individual, family, or group travel through Destinations with Mica, Passports & Pearls, or Foots Forward Travel Sports Group — you ("the Client," "you," "your") agree to the terms outlined below.
Important: These Terms and Conditions are intended to create a binding agreement between Foots Forward Travel and its clients. They should be reviewed by a licensed attorney in the applicable jurisdiction before being placed into final use.
1. Our Role as Your Travel Advisor
Foots Forward Travel acts as a booking agent and travel advisor on your behalf. We are not the tour operator, cruise line, airline, hotel, excursion provider, or any other supplier of travel services ("Supplier"). We arrange and coordinate travel with independent, third-party Suppliers; we do not own, operate, manage, or control them.
As your advisor, we provide professional judgment and guidance based on the information you provide. As a booking agent, we also have a responsibility to accurately represent Supplier products, services, policies, and pricing.
Our role is not simply to present travel choices. We help you understand how those choices may affect your overall experience and assist you in selecting travel that fits your needs, interests, budget, priorities, and personal travel style.
We will communicate clearly, explain options honestly, protect client information, document important decisions, and follow through on the professional services we agree to provide.
No two travelers are exactly alike, even when traveling to the same destination. Each client may have different priorities, concerns, accessibility considerations, comfort levels, expectations, and travel preferences.
Foots Forward Travel uses professional resources, ongoing travel education, Supplier relationships, and industry tools to help clients make informed travel decisions.
Travel, however, depends on airlines, cruise lines, hotels, resorts, tour operators, transportation providers, government requirements, weather, and many other circumstances outside our control.
Our value is not a guarantee that nothing will go wrong. Our value is thoughtful preparation, professional guidance, organized information, clear communication, and serving as a trusted point of support when travel plans change.
2. Who Provides Your Trip: Supplier vs. Agency Responsibilities
The Supplier — not Foots Forward Travel — is the party actually providing your travel services.
2.1 What the Supplier Is Responsible For
The Supplier, including a cruise line, airline, hotel or resort, tour operator, excursion company, transfer provider, rail operator, or other travel provider, owns, operates, and delivers the applicable travel service.
The Supplier is responsible for:
Physically providing the transportation, accommodations, meals, activities, and services purchased.
The safety, maintenance, and operation of its vessels, aircraft, vehicles, facilities, equipment, and other property.
Staffing, training, and supervising its employees, crew, guides, representatives, and contractors.
Establishing and enforcing its cancellation, refund, baggage, medical, accessibility, and conduct policies.
Complying with applicable safety, health, licensing, and regulatory requirements.
Honoring reservations, rates, and services confirmed at the time of booking, subject to the Supplier's own terms.
Addressing service failures, accidents, injuries, delays, losses, or other matters arising from services the Supplier provides.
2.2 What Foots Forward Travel Is Responsible For
Foots Forward Travel is responsible for:
Providing professional advice and recommendations based on information supplied by the Client.
Researching, quoting, and booking travel arrangements accurately based on Client instructions.
Communicating known Supplier requirements, deadlines, terms, and policies in a timely manner.
Submitting authorized payments, requests, and documentation to Suppliers accurately and on time.
Assisting and advocating for the Client when problems arise with a Supplier, to the extent reasonably possible.
Protecting and appropriately handling Client personal and payment information.
Clearly communicating the services Foots Forward Travel has agreed to provide.
2.3 What Foots Forward Travel Is Not Responsible For
Because Foots Forward Travel does not own, operate, staff, manage, or control Suppliers, we are not responsible for:
A Supplier's failure to deliver services as promised.
Supplier cancellations, delays, schedule changes, downgrades, or service failures.
Injury, illness, death, loss, or property damage caused by a Supplier or circumstances outside our control.
Supplier financial failure, bankruptcy, or insolvency.
Changes made by a Supplier to an itinerary, price, service, or policy after booking.
The condition, operation, safety, or legal compliance of Supplier property, facilities, vehicles, aircraft, vessels, or equipment.
Foots Forward Travel plans, coordinates, and books your travel. The Supplier delivers the travel service.
3. Client Responsibilities
Clients play an active role in the success of their travel experience.
3.1 Accuracy of Names, Dates, and Personal Information
Names must be provided exactly as they appear on the government-issued identification or passport that will be used for travel, including full legal middle names and suffixes when applicable.
Clients are responsible for reviewing itineraries, invoices, confirmations, reservations, and travel documents and reporting any discrepancies promptly.
Unless otherwise stated, errors in personal information should be reported to Foots Forward Travel within 24 hours of receiving the applicable confirmation or document.
Airlines, cruise lines, tour operators, and other Suppliers may charge fees to correct names or other information after ticketing or booking. Some changes may not be permitted.
If inaccurate information is provided to Foots Forward Travel and we reasonably rely upon that information when making a reservation, resulting fees, rebooking expenses, denied boarding, or other losses are the Client's responsibility.
3.2 Travel Documents
Clients are responsible for obtaining and carrying all documents required for travel, which may include:
Passport
Visa
Entry permit
REAL ID-compliant identification
Government-issued identification
Vaccination or health documentation
Parental or minor travel authorization
Other documents required by a destination or Supplier
Foots Forward Travel may provide general guidance regarding known requirements, but requirements can change without notice and may vary depending on citizenship, nationality, residency, itinerary, or other circumstances.
Clients are ultimately responsible for confirming applicable requirements with the appropriate government agency, embassy, consulate, or Supplier.
Denied boarding or entry resulting from missing, expired, incorrect, or otherwise non-compliant documentation is not the responsibility of Foots Forward Travel.
3.3 Criminal History and Entry Eligibility
Clients are responsible for determining whether criminal history, pending charges, registry status, or other legal circumstances could affect eligibility to enter a destination or use a Supplier's services.
Foots Forward Travel does not verify criminal history or determine legal admissibility.
If a Client may have circumstances affecting entry or boarding eligibility, the Client should consult the relevant embassy, consulate, government authority, attorney, or Supplier before booking.
3.4 Reviewing and Confirming Your Booking
Clients are responsible for carefully reviewing all:
Flight times
Travel dates
Passenger names
Dates of birth
Room types
Cabin categories
Number of travelers
Transfers
Activities
Add-on services
Invoices
Confirmation numbers
Other booking details
Any suspected error should be reported in writing as soon as possible.
Clients are also responsible for monitoring their email, including spam and junk folders, and any travel portal used for important notices and updates.
3.5 Health, Fitness, Accessibility, and Suitability for Travel
Clients are responsible for determining whether a trip, excursion, activity, or travel experience is appropriate for their health, mobility, physical condition, and individual needs.
Clients should disclose information relevant to trip planning so that Foots Forward Travel can make appropriate recommendations and communicate requests to Suppliers.
Final determinations regarding whether a travel service can accommodate a particular need remain subject to the Supplier's policies and capabilities.
3.6 Deposits, Payments, and Deadlines
Clients are responsible for making deposits and installment payments by the deadlines provided.
Missed deadlines may result in:
Cancellation
Loss of promotional pricing
Loss of accommodations or cabin inventory
Supplier penalties
Forfeiture of deposits or payments
Foots Forward Travel is not responsible for losses resulting from a Client's failure to meet a communicated payment deadline.
3.7 Conduct While Traveling
Clients are responsible for their own behavior, decisions, personal safety, and compliance with Supplier rules, local laws, government requirements, and customs regulations.
4. Payments, Deposits, and Credit Card Authorization
All charges to a Client's credit card require a signed or electronically confirmed authorization identifying:
The amount being charged
The Supplier or travel product
The purpose of the payment
The applicable cancellation and refund terms
Foots Forward Travel does not accept full credit card numbers by regular email or text message.
Payment information must be transmitted using a secure method approved by Foots Forward Travel.
A previous credit card authorization does not authorize Foots Forward Travel to make unlimited future charges.
A new authorization may be required for each deposit, installment, final payment, add-on, or other transaction.
For scheduled payment plans, Clients may receive a reminder and renewed authorization request before the applicable charge.
5. Professional Planning & Service Fees
Foots Forward Travel believes professional travel planning should begin with a conversation, not a charge.
5.1 Complimentary Initial Consultation
An initial travel consultation of up to 30 minutes is complimentary.
This consultation allows us to discuss your travel goals, priorities, budget, timing, travel style, and other considerations before determining the appropriate next step.
5.2 Complimentary Standard Planning
For most standard travel requests, Foots Forward Travel includes up to three hours of professional research, Supplier comparison, itinerary planning, quoting, and booking assistance at no additional professional fee.
Many straightforward cruise, resort, all-inclusive, hotel, and packaged vacation requests can be completed within this included planning time.
If Foots Forward Travel determines that a request is likely to require substantially more time, specialized research, or additional planning services, the Client will be informed before an additional professional fee is incurred.
5.3 Extended or Complex Planning
Planning that exceeds the first three complimentary hours may be charged at:
$75 per hour
Additional time may be billed in 30-minute increments.
Additional fees may apply to work involving:
Multi-destination itineraries
Complex international travel
Extensive Supplier or accommodation comparisons
Customized day-by-day itinerary development
Multiple substantial proposal revisions
Significant itinerary redesign
Detailed accessibility research and Supplier verification
Complex air, rail, transfer, transportation, or logistical coordination
Concierge-style planning for dining, activities, tickets, or other services
Extensive non-commissionable travel components
Large or complex group arrangements
The Client will be advised of the applicable fee before fee-bearing work begins.
5.4 Specialty and Transaction Fees
The following professional service fees may apply when the corresponding service is requested:
Domestic Air-Only Reservation
Starting at $50 per person
International Air-Only Reservation
Starting at $100 per person
Rail-Only Reservation
Starting at $50 per person
Client-Requested Change After Booking
Starting at $50 per request
This fee may apply when the requested change requires significant Supplier communication, research, rebooking, documentation, or itinerary modification.
Major Itinerary Revision
Starting at $75
This may apply when substantial changes are requested after the original proposal or travel plan has been developed.
Minor adjustments made during the ordinary planning process are not automatically subject to a revision fee.
Rush Planning
Starting at $150
A rush fee may apply to new planning requests made within 14 days of departure, in addition to any other applicable professional fees.
Acceptance of rush planning is subject to availability and does not guarantee that Suppliers, accommodations, transportation, or other requested services will remain available.
Group Travel Planning & Management
Custom fee quoted in advance
Group fees may vary based on:
Number of travelers
Number of rooms or cabins
Destination
Length of travel
Number of Suppliers involved
Payment management
Communication requirements
Hosted events or activities
Group leader coordination
Complexity of the itinerary
Level of service requested
5.5 What Professional Fees Cover
Professional fees compensate Foots Forward Travel for professional time, knowledge, planning, coordination, and service beyond standard complimentary planning.
Depending on the engagement, professional services may include:
Destination research
Supplier research
Travel-option comparison
Customized itinerary development
Supplier communication
Accessibility research and verification
Special-request coordination
Air, rail, ground transportation, and logistical planning
Documentation
Client communication
Reservation management
Proposal revisions
Post-booking modifications
Concierge planning
Group coordination
Professional guidance and ongoing support
Professional fees are separate from the cost of the travel arrangements and any fees imposed by Suppliers.
5.6 Fee Disclosure and Client Approval
Foots Forward Travel will not intentionally begin work subject to an additional professional planning fee without first advising the Client that an additional fee applies.
Before fee-bearing work begins, Foots Forward Travel will communicate:
The nature of the additional work
The applicable fee or fee structure
What the fee covers
When payment is required
The Client will have an opportunity to approve the fee before the applicable additional work begins.
5.7 Professional Fee Refundability
Professional planning and service fees compensate Foots Forward Travel for professional time and services.
Accordingly, professional fees are generally non-refundable once the work covered by the fee has begun, regardless of whether:
The Client later chooses not to book
The Client changes destinations
The Client changes travel dates
The Client cancels the trip
A Supplier reservation is later cancelled
The Client elects not to proceed with the proposed itinerary
Any exception must be agreed to by Foots Forward Travel in writing.
6. Cancellation and Refund Policy
Cancellation and refund terms for travel products are established by the individual Supplier, including cruise lines, resorts, airlines, tour operators, insurance providers, hotels, and other travel providers.
Supplier cancellation and refund terms vary by reservation.
Deposits and payments may be partially or completely non-refundable depending on the Supplier's terms and the date of cancellation.
Foots Forward Travel professional planning or service fees are separate from Supplier payments and are governed by the Professional Planning & Service Fee provisions above.
Requests to cancel or materially change a reservation must be submitted to Foots Forward Travel in writing.
Foots Forward Travel will communicate the request to the applicable Supplier when appropriate, but the Supplier's terms and decision ultimately govern any Supplier refund, credit, penalty, or cancellation outcome.
7. Travel Insurance
Travel insurance will be made available for trips booked through Foots Forward Travel, and we strongly recommend that travelers consider appropriate coverage.
Whether to purchase travel insurance and which policy to purchase is the Client's decision.
If a Client declines coverage, the Client accepts the financial risks associated with circumstances that may include:
Trip cancellation
Trip interruption
Medical emergencies
Emergency evacuation
Travel delays
Baggage loss or delay
Supplier issues
Other unforeseen events
Insurance coverage, exclusions, eligibility, policy interpretation, and claims are governed by the insurance provider.
Foots Forward Travel is not the insurance underwriter and is not responsible for insurance claim decisions, policy exclusions, or coverage disputes.
8. Group Travel Disclosures
For any group trip, including Destinations with Mica, Passports & Pearls, Foots Forward Travel Sports Group, private groups, or other hosted departures:
Foots Forward Travel acts as the booking and/or hosting agent for the group.
Travel services are provided by disclosed third-party Suppliers.
Foots Forward Travel is not the cruise line, hotel, resort, airline, tour operator, transportation company, excursion operator, or other Supplier of record.
Different components of a group itinerary may be provided by different Suppliers, and each Supplier may have its own:
Terms
Conditions
Cancellation policy
Payment requirements
Refund policy
Conduct rules
Group members may be required to complete a separate Group Travel Disclosure and Booking Agent Acknowledgment in addition to these general Terms and Conditions.
8.1 Roles Within a Group Booking
Foots Forward Travel may coordinate:
Group inventory
Supplier communication
Deposits
Payments
Deadlines
Travel requirements
Group-wide updates
General itinerary information
A Group Leader, Coordinator, Coach, Pastor, Organization Representative, Host, or other Point of Contact may assist with communication or organization.
Unless expressly stated otherwise in writing, such an individual is not an employee or agent of Foots Forward Travel.
Each traveler remains individually responsible for:
Travel documentation
Accuracy of personal information
Entry eligibility
Health and suitability for travel
Payment obligations
Compliance with Supplier rules
Personal conduct
9. Limitation of Liability
Foots Forward Travel acts as a booking agent and professional travel advisor arranging services with independent third-party Suppliers.
Foots Forward Travel is not liable for the acts, omissions, errors, representations, negligence, breaches, or failures of a Supplier.
This includes circumstances involving:
Flight delays or cancellations
Schedule changes
Overbooking
Mechanical failure
Baggage loss
Property damage
Illness
Injury
Hotel or resort service failures
Tour or excursion failures
Supplier bankruptcy or insolvency
Other circumstances beyond Foots Forward Travel's reasonable control
To the extent permitted by applicable law, Foots Forward Travel's total liability, if any, for a claim arising solely from professional services directly provided by Foots Forward Travel shall not exceed the professional planning or service fee paid to Foots Forward Travel for the trip giving rise to the claim.
10. Force Majeure
Foots Forward Travel is not responsible for failure or delay caused by circumstances outside our reasonable control.
Such circumstances may include:
Natural disasters
Extreme weather
Pandemics
Public health emergencies
Government action
Travel advisories
War
Terrorism
Civil unrest
Labor strikes
Transportation disruptions
Supplier failure
Other events that make performance impossible, impracticable, or unsafe
11. Supplier Terms and Conditions
By booking through Foots Forward Travel, the Client also agrees to the applicable terms and conditions of each Supplier included in the itinerary.
These may include policies concerning:
Cancellation
Refunds
Changes
Baggage
Conduct
Check-in
Travel documentation
Accessibility
Health requirements
Payment
Other Supplier-specific requirements
Supplier terms are available through the Supplier and/or applicable booking documentation.
12. Errors and Omissions
Foots Forward Travel takes reasonable care when preparing quotes, itineraries, and booking information.
However, pricing, availability, promotions, schedules, and other travel details are controlled by Suppliers and may change without notice.
Foots Forward Travel reserves the right to correct clerical, typographical, or pricing errors and will notify the Client promptly if an error is identified.
13. Acceptance of Terms
By signing or electronically acknowledging these Terms and Conditions, submitting an authorized payment, paying a professional fee, making a deposit, or booking travel through Foots Forward Travel, the Client acknowledges and agrees to these Terms and Conditions.
These Terms may also be referenced again in payment authorizations and other booking documents.
14. Governing Law and Contact
These Terms and Conditions are governed by the laws of the State of California.
